Printing Reports

The Scheduling Optimizer reports are designed to be viewed onscreen in your browser. Use the printer friendly version available for each report as a starting point for producing printed output.

Select Report Content

In addition to other report control and navigation buttons and report option input fields, each Optimizer report includes an onscreen “Printer friendly version” button. Clicking the “Printer friendly version” button produces the report on one long page in your browser. You can select all or part of the report from this page, then either copy the selection to Word to add further formatting before printing or print it directly using the browser’s print features.

  • On the Scheduling Optimizer Reports page, click the link for the desired report group. The default report for the selected report group displays in the browser.
  • On the report screen, select the report options you want, then click "Start" to display the report. Confirm that the report displayed onscreen is the one you want to print.
  • Click the "Printer friendly version" button. A new window opens, displaying the entire report.
    Note: This new window containing the printer friendly version can take a minute or so to load (depends on the size of the school). It has "Print" and "Close" buttons.
  • Position your mouse over any part of the printer friendly report window and right-click. Select “Select All” from the popup menu that appears. All data in the window is selected.
    Note: If you want to print just part of the report, select the rows you want included. Click at the beginning of the first row, then drag to the end of the section you want.

Whatever data is highlighted on the screen is selected. The example below shows the entire default Master Schedule Grid report selected.

 

Print from Word

This is the most reliable way to print the reports. Copy the report content to be printed into Word, format the report and print from Word.

 

Select the report data you want to print in the printer friendly window as described in the section "Select Report Content" above, then follow these steps:

 

Copy the report to the clipboard.

Hold your mouse over the selected area and right-click. Select "Copy" from the popup menu. The selected text is put into the clipboard.

 

Paste the report into Word.
  • Start a new document in Word. Orient the document in landscape mode by selecting "Page Setup…" from Word’s File menu, then selecting Landscape on the Margins tab.

    Note: If the selected report fits in the width of a page in portrait mode, you can reset the orientation of the document before printing. Until you are sure that the report formats correctly in portrait mode, however, it is better to work in landscape mode, then switch to portrait mode (if suitable) just before printing.
  • Position your cursor in the document and right-click. Select "Paste" from the popup menu. The contents of the clipboard are pasted into the Word document.
Format the report and print from Word.

The report appears in Word as a table. Change the font to a size that fits well on the page (Arial 8pt works well). Add header and footer information to the Word document and, for tabular reports, one or more heading rows to the table. You can set the table to display header rows on each page (in the Table Properties). Print as you normally do from Word.

 

Note: It works best to set the table so that rows do not break over pages (to keep related groups of data together).

 

Format the report and print from Word.

The report appears in Word as a table. Change the font to a size that fits well on the page (Arial 8pt works well). Add headings to the table. You can set the table to display this heading on each page (in the Table Properties). Print as you normally do from Word.

 

Note:

Longer reports (Master Schedule Grids, Request Conflict Pairs, Course Request Tallies) are generated one report group at a time. Use the "Printer Friendly Version" button to generate the report on one page.

 

 

Print from the Browser

Printing directly from the browser offers much less formatting flexibility than using Word but you may prefer to use this quicker, more direct method in cases where the resulting output formatting is good enough for your purposes.

 

Select the report data you want to print in the printer friendly window as described in the section "Select Report Content" above, then follow these steps:

 

Preview the printed report.
  • Set the page orientation which best matches the report’s width by selecting either Portrait or Landscape in the Orientation section of the "Page Setup" dialog, selected from the browser’s File menu.
  • Select "Print Preview" from the browser’s File menu. A print preview window opens showing how the report will appear on printed pages.
  • Examine the report shown in the print preview window. If the selected orientation seems to be the wrong one for the report, repeat this step and switch the current Portrait/Landscape selection.

Note: Close the preview window by clicking its Close button. If you close this window by clicking the "x" in the upper right, the Close button on the report screen no longer works (an apparent Internet Explorer problem); if this happens use the "x" in the upper right corner to close the printer friendly window.

 

Print the selection.
  • Select "Print" from the File menu on the Print Preview window’s toolbar. The Print dialog opens.
  • On the General tab, set Page Range to "All" if you want to print the entire report (which may be lengthy) or "Selection" if you want to print just the portion highlighted on the printer friendly view.

  • Click Print to print the report. The specified content is printed.

Note: You can also print from the standard "framed" report view in the browser (the one that contains the "Printer friendly version" button). Use the steps described above, but select the report content from the data (bottom) frame in the standard report window instead of the printer friendly window. If you select All for "Page Range" in the print dialog, you also need to select "Only the selected frame" on the Options tab of the print dialog as shown in the screen sample below.
